How to Add Page Numbers to a PDF
Page numbers help readers refer to the same part of a report, printed packet, or study guide. They are especially useful after merging several PDFs whose original numbering is inconsistent. PDFSwan Page numbers adds a visible sequential number to every page, starting with the number you choose.
Open Page numbers ↗When to use Page numbers
Use Page numbers when you need one continuous visible sequence across an entire PDF. Choose bottom left, bottom center, or bottom right and set the starting value. The tool uses plain numbers on all pages. It does not skip a cover, add Roman numerals, or produce a “Page X of Y” format.
Step-by-step instructions
Finalize the page order first
Merge, split, remove, or rearrange pages before numbering the document. That way the visible sequence matches the final reading order. If you number first and reorder later, the printed numbers move with their pages and may no longer run sequentially.
Open Page numbers and add the PDF
Choose the Page numbers tool and load one PDF. Wait for the file to finish preparing. Check that it is the final version you want to distribute and keep an unnumbered copy for future revisions.
Select the footer position
Under Position, choose Bottom center, Bottom right, or Bottom left. Inspect the source beforehand and select the area with the most spare space. There is no custom placement or font-size control, so existing footers can overlap the new numbers.
Set the starting number
In Start at, enter a whole number from 1 to 999999. A starting value of 1 labels the first PDF page 1, the second 2, and so on. A starting value of 25 labels them 25, 26, 27, and onward, which can help when preparing part of a larger collection.
Generate and review
Set File name, select Create PDF, then Download PDF. Open the saved file and inspect the first page, a middle page, and the last page. Confirm both the sequence and the placement, especially on rotated, cropped, or mixed-size pages.
A practical example
For a 12-page report, select Bottom center and Start at 1. The first page receives 1 and the final page receives 12. If this report follows 24 pages in a larger packet, set Start at to 25; the final page then receives 36. The calculation is starting number plus page count minus one.
Tips for a better result
Understand visible numbers and PDF labels
The tool draws numbers onto the page content. It does not configure the viewer’s internal page labels or update a table of contents. A viewer may display page 1 while the visible footer says 25. Explain that distinction to recipients when precise citations matter.
Plan for covers and existing numbering
Every page receives a number, including the cover. There is no skip-first-page setting or option to remove old footer numbers. If your layout needs an unnumbered cover, prepare the body as a separate PDF, number it, then merge the cover before it and verify the final document.
Check the available space
Numbers use a fixed small font near the bottom of each page. The placement uses the underlying PDF page coordinates. Existing rotations or crop boxes can affect how that appears, so inspect complex documents rather than assuming every footer will look identical.
Troubleshooting
Why can I not use zero or a negative start?
The supported starting range is 1 through 999999, using whole numbers. Replace decimals, zero, negative values, or an empty field with a valid integer.
Why are there two sets of page numbers?
The tool adds new numbers without removing existing ones. Use an unnumbered source if available, or choose a position that keeps the new sequence distinct and readable.
Why is my cover numbered?
The tool numbers every page. Prepare an independently numbered body and merge the cover afterward if an unnumbered cover is required.
File limits, privacy and keeping your originals
PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.
The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.
Frequently asked questions
Can I start PDF page numbering at a number other than 1?
Yes. Enter the desired whole number in Start at, within the supported range of 1 to 999999.
Can I add Page 1 of 10?
No. The current output uses plain sequential numbers rather than a custom prefix or total-page format.
Can I add numbers to the top of each page?
The available positions are bottom left, bottom center, and bottom right.
Should I number pages before or after merging?
Usually after merging and organizing. Add numbers once the complete document is in its final sequence.
