How to Fill Existing PDF Form Fields

By PDFSwan · Updated · 3 min read

An interactive PDF form contains fields that can be filled without placing text manually. PDFSwan Fill PDF forms reads supported existing AcroForm fields and shows matching controls in the workspace so you can enter values and save a new copy.

When to use Fill PDF forms

Use this tool for PDFs that already contain supported form fields. It does not detect blank lines in a scan, create new fields, or support XFA forms. For a noninteractive document, Add text to PDF can place a simple text overlay instead.

Step-by-step instructions

  1. Load the source file

Open the Fill PDF forms workspace using the button above. Choose the source file from your device or drag it into the drop area. Wait for preparation to finish and check the displayed filename. Work from a copy you can retain for comparison, and clear the workspace if you selected the wrong source.

  2. Review the detected fields

After loading the PDF, look under Your finishing touches for field names. Supported controls include text fields, checkboxes, dropdowns, option lists, and radio-group choices. Read-only fields remain disabled.

  3. Enter and check the values

Fill the matching controls using supported basic Latin text. Select available options rather than inventing new ones. A field’s internal name may differ from its visible label, so compare the source form to ensure each value belongs in the right place.

  4. Download and verify the result

After processing finishes, select Download PDF. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.

A practical example

For a registration form containing name, attendance choice, and consent fields, load the PDF and identify the corresponding controls. Enter the name, choose the offered attendance option, and set the checkbox as intended. Create the output, then open it in a viewer and verify that the values appear in the correct visible locations.

Tips for a better result

Check every visible page

A successful download does not prove every field was filled correctly. Compare field placement, long text, selected choices, and required information in the downloaded form.

Flatten only when appropriate

The separate Flatten form fields tool can turn filled fields into fixed page content. Keep an editable filled version before flattening, especially if the recipient may need to make corrections.

Troubleshooting

Why are no editable fields found?

The PDF may be a flat document, a scan, or use unsupported field types. The tool only edits existing supported AcroForm fields.

Why is XFA rejected?

XFA forms are not supported. Use a compatible application or request a standard AcroForm version from the form provider.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Can the tool create form fields automatically?

No. The PDF must already contain supported fields.

Can I edit read-only fields?

Read-only fields are disabled in the interface.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
