How to Add a Text Watermark to a PDF

By PDFSwan · Updated · 4 min read

A text watermark can communicate the status of a document at a glance. Labels such as DRAFT, INTERNAL COPY, or FOR REVIEW help readers understand how to use a file before they rely on its contents. PDFSwan Watermark PDF places a centered diagonal text label on every page and lets you choose how prominent it looks.

When to use Watermark PDF

Use this tool for a visible status label across an entire PDF. The current interface supports a text watermark, three opacity levels, and a fixed centered diagonal placement. It does not insert a logo, offer custom positioning, or let you choose a different watermark for individual pages. A watermark is a visual label, not access control or redaction.

Step-by-step instructions

  1. Open the watermark workspace

Choose Watermark PDF and add one PDF. Check that you have the intended version before applying a label. Keep the original in case you later need an unmarked copy.

  2. Write a short watermark

In Watermark text, replace the default DRAFT label with your own text. Use basic Latin characters supported by the tool and keep the text to 80 characters or fewer. Short labels are usually easier to read because the tool reduces the text size to fit longer wording.

  3. Choose an opacity level

Select Subtle · 20%, Medium · 40%, or Strong · 65%. A higher opacity makes the label more visible but can obscure more of the underlying page. For text-heavy documents, begin with Subtle and inspect the output.

  4. Create the marked PDF

Change File name to distinguish it from the original, such as proposal-draft-watermarked. Select Create PDF. The same diagonal label is applied to every page, including covers, blank pages, and appendices.

  5. Download and check readability

Select Download PDF, then review the result at normal reading size. Inspect dense tables, diagrams, and small print under the watermark. If it interferes with reading, reduce opacity or shorten the label and generate another result from the original.

A practical example

For a draft report being reviewed internally, enter DRAFT and choose Subtle · 20%. After creating the PDF, examine a text page and a chart page. If the label is too faint for your purpose, regenerate with Medium · 40%. Use the original source for each trial so you do not stack several watermark layers onto the same document.

Tips for a better result

Use a watermark for a clear message

Choose wording that tells the reader something useful about the file, such as DRAFT or FOR REVIEW. A long sentence shrinks to fit and can be harder to notice. The label appears on every page, so avoid text that only applies to one section.

Do not use it to hide private information

A translucent label leaves the underlying text and images in place. It does not securely remove personal details, prevent copying, or stop someone from sharing the file. Use a dedicated redaction process when information must be permanently removed.

Expect fixed styling

PDFSwan centers the text diagonally using a built-in bold font and color. There is no font picker, image upload, page-range selection, or corner-placement option in this tool. If the layout overlaps important material, try a subtler opacity and review all affected pages.

Troubleshooting

Why is my watermark text rejected?

The tool supports basic Latin text rather than every writing system or symbol. Replace unsupported characters, including emoji, with a simpler Latin label. The field also needs nonempty text.

Why does a long watermark look small?

Text size is reduced to fit the page width. Shorten the label to make it easier to read. Very small page dimensions can also reduce the available space.

Can I remove an existing watermark?

This tool adds a new label; it does not remove an existing one. Return to an unmarked original whenever possible.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Can I add a logo watermark to a PDF?

No. The current tool supports text watermarks only.

Can I watermark only selected PDF pages?

The watermark is applied to every page. There is no page-range control in this workspace.

Does a watermark protect a PDF from copying?

No. A watermark provides a visible label. It does not add a password, enforce permissions, or prevent editing and redistribution.

Can I watermark a signed PDF?

Editing cannot preserve an existing digital signature. Keep the signed original and treat the watermarked result as a separate edited copy.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
