How to Flatten Filled PDF Form Fields

By PDFSwan · Updated · 2 min read

Once a form is complete, you may want a copy whose field values behave like ordinary page content. PDFSwan Flatten form fields converts existing AcroForm field appearances into fixed page content in a new PDF.

When to use Flatten form fields

Choose this tool after filling and verifying a supported form. Flattening removes field editability in the output. It is not a complete annotation-flattening tool, a redaction workflow, or a certificate-signing process.

Step-by-step instructions

  1. Load the source file

Open the Flatten form fields workspace using the button above. Choose the source file from your device or drag it into the drop area. Wait for preparation to finish and check the displayed filename. Work from a copy you can retain for comparison, and clear the workspace if you selected the wrong source.

  2. Finish filling the form first

Open the source in a viewer and confirm all values. If the fields still need entries, use Fill PDF forms and download a filled version before returning here.

  3. Create the flattened copy

Load the filled PDF, choose a distinct File name, and select Create PDF. There are no field-selection settings: the operation flattens the existing supported form fields together.

  4. Download and verify the result

After processing finishes, select Download PDF. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.

A practical example

After completing a three-page application, save an editable filled copy. Load that file into Flatten form fields and generate a separately named flattened copy. Open both files and compare names, checkboxes, and choice values. Keep the editable copy for corrections and use the flattened copy where that format is appropriate.

Tips for a better result

Review appearances before sharing

Flattening depends on how field values are represented in the source. Check that text and checked states remain visible in the downloaded result rather than assuming a successful save guarantees the intended appearance.

Keep editability where needed

A flattened result is harder to revise as a form. Keep the unflattened source and confirm whether the recipient expects editable fields before choosing which version to send.

Troubleshooting

Why does it say no form fields were found?

The document may already be flattened or may never have contained interactive fields.

Why are some annotations still interactive?

The tool flattens AcroForm fields only. It does not flatten every possible annotation type.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Does this support XFA forms?

No. XFA forms are rejected.

Can I restore the original form fields afterward?

Use your retained editable source. There is no unflatten command here.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
