How to Merge PDF Files into One Document

By PDFSwan · Updated · 4 min read

Combining PDF files makes a collection of documents easier to share, print, and keep in order. Instead of sending a report, its appendix, and several supporting documents as separate attachments, you can merge them into one PDF with the main report first. PDFSwan combines the pages in the file order you choose, directly in your browser.

When to use Merge PDF

Use Merge PDF when you want to join two or more complete PDF documents. It keeps the pages of each source together: all pages from the first file come before all pages from the second. If you only need a few pages from a source, extract those pages first. To rearrange individual pages after merging, open the result in Organize PDF.

Step-by-step instructions

  1. Open Merge PDF and choose your files

Select the Merge PDF button on this page. In the workspace, choose files from your device or drag PDFs into the drop area. Add at least two PDFs; Create PDF stays unavailable with only one file. You can add more files to the same workspace before processing.

  2. Put the documents in the right order

Read the filenames in the file list from top to bottom. Use the up and down arrows beside a file to move it earlier or later. Use the remove button if you added the wrong document. These controls reorder entire files, rather than individual pages.

  3. Choose a useful output name

Under Your finishing touches, change File name to something descriptive, such as project-report-with-appendices. PDFSwan adds the .pdf extension when you download. A clear filename helps the recipient identify the document without opening it.

  4. Create and download the combined PDF

Select Create PDF and wait for the result panel. Check the reported page count, then select Download PDF. Save the file somewhere you can find it. The download is a new PDF; keep the original documents in case you want to rebuild it.

  5. Review the final document

Open the downloaded PDF in your usual viewer. Check the first page of each source, the transition between documents, and the final page. If a document is in the wrong place, return to the workspace, adjust the arrows, and create the PDF again.

A practical example

Suppose you have a 6-page proposal, a 2-page pricing document, and a 3-page appendix. Add all three PDFs, then move them into that sequence. The result should contain 11 pages. The proposal occupies pages 1–6, pricing occupies pages 7–8, and the appendix occupies pages 9–11. For continuous visible numbering, add page numbers to the combined file afterward.

Tips for a better result

Prepare the source files

Use meaningful filenames before adding documents, especially when several attachments have similar names. Verify that each source opens correctly. Merge PDF accepts PDFs, so convert JPG or PNG scans with Images to PDF before combining them with other documents.

Check document features

Merging copies pages into a new document. Bookmarks, interactive forms, links, annotations, and other document-level features may change. Editing cannot preserve an existing digital signature. Keep signed originals and visually review anything important after merging.

Manage larger jobs

The total source size must stay within 50 MB, with at most 60 files and 300 pages per task. Browser memory use can be much greater than the input size. If a job stalls on a phone, close unnecessary tabs or try smaller groups on a device with more memory.

Troubleshooting

Why is Create PDF disabled?

Merge needs at least two successfully loaded PDFs. Check that both filenames appear in the list and that the files finished preparing. Remove unreadable files and replace them with valid copies.

Why is the page order wrong?

The file list controls the sequence of whole documents. Move files with the arrows and generate the result again. For changes inside a document, use Organize PDF on the downloaded result.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Can I merge PDFs for free without signing up?

Yes. PDFSwan Merge PDF works without an account and processes document bytes in your browser.

Can I merge password-protected PDFs?

Encrypted PDFs are rejected. Use an unlocked copy that you are authorized to edit, then add it to the workspace.

Will merging make my PDF smaller?

Merge PDF is not a compression tool. The output size depends on the source documents and may be larger or smaller than their combined size.

Can I mix portrait and landscape pages?

You can combine PDFs with different page sizes and orientations. Check the downloaded file to confirm that each page displays as intended.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
