How to Export PDF Text into CSV Rows
A CSV export can make positioned text from a PDF easier to inspect in a spreadsheet. PDFSwan PDF to CSV groups extracted text by its position and writes rows with source page and row information. It is a cleanup starting point rather than a guaranteed reconstruction of the PDF’s tables.
Open PDF to CSV ↗When to use PDF to CSV
Use this tool for PDFs with selectable text when you want to inspect text items in spreadsheet rows. It does not reliably infer table headers, merged cells, data types, or column meanings. Image-only scans need OCR before any selectable text can be exported.
Step-by-step instructions
Load the source file
Open the PDF to CSV workspace using the button above. Choose the source file from your device or drag it into the drop area. Wait for preparation to finish and check the displayed filename. Work from a copy you can retain for comparison, and clear the workspace if you selected the wrong source.
Inspect the source table
Check whether words and numbers are selectable. Look for wrapped descriptions, multi-line cells, and repeated headings, because these can create extra rows or inconsistent columns in the export.
Create and import the CSV
Choose File name and select Create CSV. Open the download in a spreadsheet using its CSV import controls. The file starts with Page and Row columns, followed by the positioned text items found on each line.
Download and verify the result
After processing finishes, select Download CSV. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.
A practical example
To inspect a supplier’s text-based price list, export the CSV and keep Page and Row while cleaning it. Compare product codes and amounts against the source PDF. Join wrapped descriptions, remove repeated headings, and only then assign clean column names. Check totals independently before using the spreadsheet in a calculation.
Tips for a better result
Protect identifiers during import
Spreadsheet software may reinterpret dates, leading-zero codes, and long numbers. Import identifier columns as text when needed. Some values starting with formula-like characters are prefixed with an apostrophe by the exporter; inspect those values during cleanup.
Validate structure rather than assuming it
Two text items on one PDF line are not necessarily two table cells. Conversely, a single cell can contain many positioned items. Compare several rows, especially the first and last row of each page, before treating the CSV as a finished dataset.
Troubleshooting
Why do rows have different numbers of columns?
The converter exports positioned text items, not inferred table cells. Different PDF lines can contain different item counts.
Why is the PDF rejected as having no text?
Scanned pages need a text layer. The tool does not perform OCR or recognize tables from images.
File limits, privacy and keeping your originals
PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.
The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.
Frequently asked questions
Does this create an Excel workbook?
No. It creates CSV, which you can import into spreadsheet software.
Will the table be perfectly preserved?
No. Complex tables usually need manual cleanup and checking against the source.
Ready to try it?
Follow the steps with a copy of your document, then check the downloaded result before sharing it.
