How to Convert PDF Text to an Editable Word Document

By PDFSwan · Updated · 3 min read

When you need to reuse the wording from a PDF in a document editor, a text-based Word export can save copying and pasting. PDFSwan PDF to Word extracts selectable text and builds a DOCX you can edit. It is designed for recovering text, rather than reproducing the PDF’s original page design.

When to use PDF to Word

Use this tool for text-led documents that already contain selectable words. It does not recreate images, tables, columns, fonts, or the original layout. Scanned pictures of text need OCR first, and OCR is not provided here. For precise layout preservation, retain the PDF as the reference.

Step-by-step instructions

  1. Load the source file

Open the PDF to Word workspace using the button above. Choose the source file from your device or drag it into the drop area. Wait for preparation to finish and check the displayed filename. Work from a copy you can retain for comparison, and clear the workspace if you selected the wrong source.

  2. Check that the source has selectable text

Open the PDF in a reader and try selecting a sentence. A scan that behaves like one large picture may have no text layer. Mixed PDFs can contain both selectable and image-only pages, so test more than the first page.

  3. Create the DOCX export

There are no formatting settings in this workspace. Choose a meaningful File name, then select Create DOCX. The conversion groups extracted text into lines and places source-page text into the Word output.

  4. Download and verify the result

After processing finishes, select Download DOCX. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.

A practical example

To reuse the wording from an eight-page policy PDF, export it as DOCX and open the download in Word or another compatible editor. Compare section headings, dates, and list items against the PDF. Apply your own heading styles, restore tables manually if needed, and save a new edited copy.

Tips for a better result

Proofread reading order

Two-column pages, footnotes, and text placed in separate blocks can extract in an unexpected order. Compare paragraphs with the source before publishing or circulating the edited version.

Rebuild formatting intentionally

The DOCX is a starting point for editing. Apply headings, lists, spacing, and table structures in your editor. Images are not carried over, so insert required illustrations from an appropriate source separately.

Troubleshooting

Why are images and tables missing?

This is a text-only export. The converter does not reconstruct the original layout or table structure.

Why does the tool say no selectable text was found?

The source may contain scans or outlined lettering. It needs a text layer from a separate OCR workflow before this tool can extract words.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Can I edit the downloaded file in Word?

Yes. The output is a DOCX containing the extracted editable text.

Will the Word file look identical to the PDF?

No. Original fonts, images, tables, and layout are not recreated.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
