How to Extract Selectable Text from a PDF

By PDFSwan · Updated · 3 min read

Plain text is useful for searching, quoting, taking notes, and moving wording into another application. PDFSwan PDF to Text extracts selectable words from a PDF and saves them in a TXT file without the visual formatting of the original pages.

When to use PDF to Text

Use this workflow when the text matters more than page design. It works from an existing text layer and does not recognize words in photographs or scans. Fonts, pictures, page decoration, and interactive fields are not reconstructed in the text download.

Step-by-step instructions

  1. Load the source file

Open the PDF to Text workspace using the button above. Choose the source file from your device or drag it into the drop area. Wait for preparation to finish and check the displayed filename. Work from a copy you can retain for comparison, and clear the workspace if you selected the wrong source.

  2. Check the text layer

Try selecting and copying a sentence in your PDF reader before conversion. If only an entire image is selectable, the page may need OCR. Some scans already have an invisible OCR text layer, which this tool can attempt to read.

  3. Create the TXT file

After loading the PDF, set File name and select Create TXT. There is no page-range control or text-format option. To export a smaller section, extract its pages into a new PDF first.

  4. Download and verify the result

After processing finishes, select Download TXT. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.

A practical example

To collect quotations from a 15-page report, export a TXT copy and open it in a text editor. Search for a distinctive phrase, then compare the wording and punctuation with the original page before quoting it. Use the source PDF for checking page references because a plain text editor may display page separators differently.

Tips for a better result

Review text order

The converter groups text by its position on each page. Headers, sidebars, columns, and footnotes can appear in unexpected places. Rearrange the exported text manually when a clean narrative is required.

Keep source and output together

A TXT file has no visual evidence of the original page layout. Keep the PDF nearby to verify tables, headings, symbols, or ambiguous text. Exporting does not improve errors already present in an OCR layer.

Troubleshooting

Why is the output missing a scanned page?

Image-only pages have no selectable text to export. A separate OCR step is required.

Why are words separated or reordered?

PDF stores positioned text rather than a simple stream of paragraphs. Complex layouts may need manual cleanup after extraction.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.
