How to Compare Text in Two PDF Files

By PDFSwan · Updated · 3 min read

When two PDF versions look similar, comparing their extracted text can help you spot pages that need review. PDFSwan Compare PDF text reads the selectable text from two documents and creates a side-by-side HTML report organized by page.

When to use Compare PDF text

Use this tool for a page-by-page text comparison. It does not compare images, visual design, or scanned content, and it does not highlight individual changed words. A page marked as having the same text may still differ visually.

Step-by-step instructions

  1. Prepare the two versions

Open both PDFs in a viewer first and check their filenames and page counts. Try selecting a sentence in each file to confirm that text extraction is possible. Then open the comparison workspace and prepare to add the two versions together.

  2. Load exactly two PDFs

Add the two versions and identify their filenames. The report places the first loaded file on one side and the second on the other. Clear the workspace if you need to replace the pair.

  3. Create the HTML report

There are no sensitivity or word-difference settings. Choose File name and select Create HTML. Both sources must provide selectable text; image-only scans cannot be compared with this workflow.

  4. Download and verify the result

After processing finishes, select Download HTML. Save the new file before closing the tab or creating another result. Open the actual download in a compatible application and compare it with the source. Check the content and format you need rather than relying only on the success message.

A practical example

To check a revised six-page policy, load the earlier and later PDFs, create the report, and open the HTML download in a browser. Review pages labeled Different text. Compare the two text blocks with the original documents before concluding what changed. If a new cover shifts every page, expect many page-position differences.

Tips for a better result

Interpret differences in context

The tool compares extracted text at matching physical page positions. A changed page break or inserted page can cause differences on subsequent pages even when much of the wording is unchanged.

Review appearance separately

Image replacements, color changes, signatures, and layout changes may not affect extracted text. Use the original PDFs side by side when the review needs to cover visual content as well.

Troubleshooting

Why are many pages marked different?

An inserted page, changed pagination, or different text extraction order can shift or alter page text. Compare the original files to understand the cause.

Why did a changed image go undetected?

The comparison reads text only. It does not analyze page images or visual appearance.

File limits, privacy and keeping your originals

PDFSwan processes document bytes locally in your browser without a document upload. The task limits are 50 MB total input, 60 files, and 300 PDF pages. Actual performance depends on your device and browser memory. Encrypted PDFs are rejected; choose an unlocked copy you are authorized to edit. Keep your originals, because page operations and edits may change bookmarks, forms, links, annotations, and existing digital signatures.

The home page includes Google Analytics and DeanonX site-tracking scripts. Local document processing does not mean the website has no third-party tracking. Download the result before closing the tab, and use Clear workspace to remove files from the active workspace when finished.

Frequently asked questions

Does the report highlight changed words?

No. It marks page text as same or different and presents the text blocks side by side.

Can I compare scanned documents?

Only if both have usable selectable text layers. OCR is not included.

Ready to try it?

Follow the steps with a copy of your document, then check the downloaded result before sharing it.
